Google™ Mail Multiple Inboxes

Google Labs offers a number of additional features to help you become more productive or have fewer headaches in a day.

One such feature is Multiple Inboxes.  This feature is strictly a productivity enhancer, but can be very detrimental if not used properly (just making more work for yourself).

First step for using this (or any lab) feature is to visit the following page:
https://mail.google.com/a/[YourDomanHere]/#settings/labs

A bit past halfway down this page you’ll find the feature Multiple Inboxes, choose to enable, scroll to the bottom and save your changes.


This feature has turned on a new option in settings:

To get to this feature simply go back to settings (in the upper right).
You will see a new sub-category called Multiple Inboxes, choose this.

You will be able to set up to 5 addional inboxes, determine how many rows in each inbox and choose the positioning of the boxes.

You’ll notice a recurring theme in Google Apps™ – searches are used everywhere, and this is no exception.  You are given the opportunity to put in a search query, the results of which will be displayed in an additional inbox.

Examples of usage:

You have a label called First Priority and would like to show it in its own inbox

label: First Priority

You have a client named ACME that you need to be able to see and respond to

from:@acme.com

You have a web form for leads, email comes with “Website Submission” in the subject:

subject:”Website Submission”

You can mix and match the search operators as much as you want, here is a full list:

Meaning: Messages from David that have an attachment

Meaning: Messages with the words info@example.com in the headers, sent to or from this list

Meaning: Messages with an attachment named “physicshomework.txt”

Example: label:work filename:pdf
Meaning: Messages labeled “work” that also have a PDF file as an attachment

Meaning: Messages containing the phrase “dinner and a movie” in the subject

Meaning: Messages from Amy that contain either the word “dinner” or the word “movie”

Meaning: Messages in which the subject contains both the word “dinner” and the word “movie”

Meaning: Messages from Amy that are in Trash

Meaning: Messages from David that have been read and are marked with a star

Meaning: Messages that were cc-ed to David

Example: after:2004/04/16 before:2004/04/18
Meaning: Messages sent between April 16, 2004 and April 18, 2004.*
*More precisely: Messages sent after 12:00 AM (or 00:00) April 16, 2004 and before April 18, 2004.
is:chat
Example: is:chat monkey
Meaning: Any chat message including the word “monkey”.
deliveredto:
Example: deliveredto:username@gmail.com
Meaning: Any message with username@gmail.com in the Delivered-To: field of the message header (which can help you find messages forwarded from another account or ones sent to an alias).

Set-up your search queries, decide how and where you want the in-boxes to be displayed and your ready to start using Multiple Inboxes!

    Is there a way to say, “is unread but is NOTin trash?”
    I get a lot of trash files when I set up my 2nd inbox to is:unread

    Theresa, if you are using is:unread as the query then you shouldn’t see trash items. The box will however notify you that trash items match the query and you can select to view those.
